PartyBook

Order booking and billing for catering businesses and hotels that take bulk food orders.

Who it is for

Hotels and caterers who take party and function orders — a hundred idly for a Saturday breakfast, lunch for a wedding — and who currently run that out of a paper bill book. PartyBook is the bill book, the rate list and the payment ledger in one place, on the phones the counter staff already have.

It is not a restaurant POS and not a food delivery app. It is for orders taken in advance and delivered on a date.

What it does

Bookings and quotations

Take a confirmed order or a quotation, against a delivery date and a sitting. Rates come from a menu only an administrator can change, so counter staff enter quantities and nothing else.

Bill numbers that match the book

One numbered series per branch, moving forward only, so two branches never issue the same number and a number is never re-used. A shop mid-year can start the series where its paper book left off.

Payments and what is owed

Advances, balances and how money came in — cash or online. A pending payment list is what a shop works down at the end of a week, with a Call button for each customer.

Printed and shared bills

A bill as a PDF, printed to a real printer or sent over WhatsApp. It prints with no signal, because the rates are on the order rather than looked up.

Works without signal

Bookings taken out of coverage queue on the phone and upload when it reconnects. A wedding hall basement is not a reason to stop taking orders.

Staff accounts and roles

Each person signs in with a username and a six-digit PIN. Administrators manage the menu, the staff list and cancellations; labour accounts take orders.

Cancelling is never deleting

A cancelled order keeps its bill number and its lines, and records who cancelled it, when, why, and any refund. Labour must type a branch cancellation code to do it, so calling off an order is a deliberate act somebody was told how to perform rather than a mis-tap on a busy morning.

Getting an account

Accounts are set up by us, not self-service. We create your hotel, its branches and your first administrator account, and give you a hotel code — the one your staff enter once on each phone. After that you add and remove your own staff yourself.

Ask by tapping Create hotel account on the app's first screen, or email partybook.support@gmail.com. Nothing is charged for asking.
